Switching to LawnLedger

Switching lawn care software: what comes across, and what does not.

Every CRM exports a customer list. LawnLedger imports it, with your locations and services, in the first ten minutes of the trial. Here is the honest inventory of what moves, what you rebuild, and the order that avoids orphans. No setup fee, no setup call.

What imports

RecordHow it comes inNotes
CustomersCSV or ExcelName, email, phone, company, billing address, payment terms, language, notes. The importer maps your columns from their headers and previews before it writes.
Locations (properties)Same file, or a second oneA row with an address attaches to the customer on that row. Gate codes, access notes, lot size, turf area, cadence, assigned crew all have columns.
Services and pricesCSV or ExcelName, type, default price, unit, category, taxable, seasons, and your cost split (labor, materials, equipment, dump).
Customers from QuickBooksConnect, don’t exportThe QuickBooks sync brings customers across and keeps them in step from then on.
DuplicatesDetectedMatched by email and customer number - a row that matches updates the record instead of adding a second one, and duplicates inside the file are flagged before anything is written.
Bad rowsSkipped, listedThe rows that could not be read are reported with the reason; fix and re-run just those.

CSV import is included from Growth up, which is where a trial starts unless you picked another plan.

What you rebuild

RecordIn LawnLedgerWhy
Recurring jobs and routesSet up freshNo vendor exports a schedule in a form another tool can read. Once customers and locations are in, a recurring job is a few clicks per property, and the season propagates from there.
Open invoicesFinish them where they areCollect what is outstanding in the old tool; start new work here. Historical totals stay in your old exports and your accountant’s books.
ContractsRe-send from a templateContracts here carry e-signatures, payment plans and season rollover, so they are signed fresh rather than copied.
Job history and photosStays in the old toolKeep the export. If a customer asks about last year, you still have it.
Chemical application recordsNot yetApplication records are on the roadmap; if they are most of your work, wait for that page to change.

The order that avoids orphans

  • Customers first, then locations, then services.
  • Do a ten-row test file before the full one. Ten wrong rows are a nuisance; four hundred are an afternoon.
  • Import before you build the schedule, so every recurring job has a real property to hang on.

From each tool

  • Jobber: Clients → export CSV; properties export with them.
  • Service Autopilot: Clients list → export; one file per list is fine.
  • Housecall Pro: Customers → export CSV.
  • Lawn Buddy, Yardbook, a spreadsheet: whatever you have; the mapper reads the headers.
Books too? Connect QuickBooks during the trial and it stays your ledger while you decide. When you drop it, the cutover opens the LawnLedger books from a chosen date, and the year-end package is yours to download for your accountant.
